ZOOM PHONE

  • The Cisco Jabber solution is obsolete.
  • The current Cisco phones are proprietary Cisco devices, so they cannot be reused on another platform (in our case, for Zoom Phone).
  • Moreover, these phones are at the end of their life cycle, and we can no longer ensure their security, maintenance, and support.

  • No, during the transition to the Zoom system, your phone number will remain unchanged. You will keep your line number (internal: 9XXXX / external: 022 37 9XXXX).
    Your contacts will be able to reach you on the same number as before, whether internally or from outside the institution.

In general, Zoom Phone offers more features than Cisco Phone, as the Zoom solution seamlessly integrates all Zoom features, such as adding colleagues to a discussion during a meeting, screen sharing via Zoom Meeting, or sharing documents via the chat.

However, there are two key changes to note:

  1. Telephony: Phone calls via Zoom are audio-only, without video.
    Zoom calls are audio-only, without video. Therefore, calls between the two phone systems (Cisco and Zoom) will also be audio-only.
    Video Option: From the Zoom app, it's possible to switch a phone call to a Zoom video meeting with just one click.
    New Zoom-compatible physical phones do not have an integrated video camera.

    This configuration offers increased flexibility, allowing users to choose between simple audio communications or more complete video interactions based on their needs.

  2. Chat: It is not possible to chat between Cisco Jabber and Zoom Workplace apps.
    Chat is only possible within the same application of choice. Therefore, it is recommended for those who have migrated to Zoom to temporarily keep their Cisco Jabber app for chat in order to not miss any discussions with colleagues still on Cisco.

  • No, Zoom Phone telephony does not include video during a call, only audio.
  • If you wish to have video during a call, you will need to make a video call, which will be associated with a Zoom Meeting call.
  • Zoom separates the telephony (audio-only) feature from the meeting (video) feature. However, it is very easy to switch from audio telephony mode to video mode by inviting your contact to a video meeting.
  • Zoom-compatible fixed phones, therefore, do not have video functionality.
  • According to a survey conducted in 2021 among UNIGE staff, 87% of respondents agreed to remove video from their fixed phones.
  • Yes, you can use Zoom Workplace on an Android or iPhone to make and receive calls via your UNIGE phone line.
     
  • Yes, it is possible to block external numbers using advanced features.
  • A list of spam/unwanted numbers is also maintained by the people responsible for managing the telephony system.
  • No. As before, it is not allowed to forward your phone line to external numbers (outside of UNIGE internal numbers).

No, it is not possible to send SMS from the Zoom Workplace app or from the fixed phone.

  • No, for confidentiality reasons, call recording on Zoom Phone is not available.
  • Yes, it will be possible to keep your multi-line telephony and choose whether to keep a fixed phone or opt for a headset and use the Zoom Workplace platform with multi-line functionality. New feature: with the Zoom app, it is possible to maintain multi-line functionality on your smartphone.

The Zoom solution uses secure servers hosted in Europe, along with encryption for data security.

  • Zoom complies with Swiss laws and UNIGE's data protection policy.

  • Zoom Phone supports secure voice calls for connections between Zoom Cloud and the desktop Zoom app, mobile app, web/browser client, and supported SIP (Session Initiation Protocol) devices. Connections via the desktop and mobile apps encrypt call media using a specific algorithm. Zoom Phone also offers end-to-end encryption for calls between two Zoom Phones, which can be activated during the call. However, enabling this option limits some features, such as call hold, transfer, and upgrading the call to a meeting.

  • Zoom Meeting also allows end-to-end encryption, which must be activated by the user when opening a meeting room. This option reduces some available features, such as whiteboards, livestreaming, polls/quizzes, breakout rooms, and transcription.

No. Although the UNIGE directory is accessible in Zoom, your contacts and their organization will not be automatically transferred from Cisco Jabber. You will need to:

  • Recreate your contact groups in Zoom

  • Rearrange your contacts according to your preferences

  • Unlike Cisco Jabber, you can access the full call history, including missed calls, from any device where Zoom is installed.
  • The call history is synchronized across all your devices, even if the Zoom app is not running on some of them.
  • The history includes not only missed calls but also outgoing and incoming calls.
  • By default, incoming calls are received simultaneously on all devices connected to Zoom Phone (physical phone, Zoom application on computer and mobile phone). However, you can select the device(s) on which you want to receive these calls on your personal Zoom profile: https://unige.zoom.us/profile ‘Phone’ menu and ‘Call management’ section.

PHASE OF COEXISTENCE BETWEEN THE TWO SYSTEMS: CISCO AND ZOOM

  • No, it is not necessary to wear the headset at all times, as the ringtone for incoming calls on your Zoom application is emitted by your computer, just like on a phone.
  • Yes, unlike the physical phone, which does not offer this feature, the headset used with the Zoom Workplace application allows you to make phone calls without your caller hearing background noise. It is equipped with advanced technology featuring two microphones that capture the voice while analyzing and reducing noise, which is particularly useful in open office environments.

  • The old Cisco phones are reset, recycled, and then reused in smaller structures.
  • The collection of old Cisco phones is included in the contract with the current supplier.
  • The new Zoom-compatible desk phones are Poly Edge E220 models.
