Pilot Site Migration

ROLE OF THE PILOT SITE

Housing the STIC Division and the Department of Environmental Sciences, the building located at 66 Bvd Carl-Vogt serves as the pilot site for the migration from Cisco to Zoom for institutional telephony. Each affected staff member is therefore encouraged to report any difficulties and/or suggestions for improvement regarding the project process to the project team.

Mid-January 2025: Information Phase

During this preliminary phase, users at the 66 Bvd Carl-Vogt site will be informed about the key issues and milestones of their telephony migration to Zoom. Staff will also learn about the upcoming telephony equipment to help them decide whether to choose a headset or a desk phone. Support documentation will be made available online ahead of the migration to familiarize users with Zoom telephony.

    Presentation of Zoom features and headset testing for users

Early February: Selection Phase

From February 2 to 10: Users will choose between a headset and a desk phone for their personal line. A form is sent by e-mail to all site employees. Those wishing to keep a desk phone indicate their preference by responding to the form, while non-respondents automatically receive a free headset.

Mid-February: Needs Analysis Phase

Expert engineers will assess the required number of desk phones and headsets and prepare for the effective migration.

Late February/Early March: Effective Migration Phase

From February 27 to March 9: The "Phone" icon will be added to staff Zoom Workplace platforms without requiring a user update. A team of engineers and electricians will replace phones and make the necessary connections, office by office.

End of March: Support and Hypercare Phase

From March 10 to 31: A hypercare support team will address user queries. Expert engineers will make necessary adjustments and assess the pilot site migration.
